Position Summary:
We are seeking a dynamic and motivated Part-Time Office Manager to join our team. This individual will play a crucial role in collaborating with our founder to elevate the patient experience and ensure the seamless operation of our practice. The Office Manager will be responsible for overseeing daily functions, optimizing patient care, and supporting marketing and financial management initiatives.
Key Responsibilities:
- Maintain comprehensive knowledge of all products and services, ensuring staff is well-educated and effectively communicating relevant information to patients.
- Oversee the patient experience, embodying our company culture in all interactions, including phone etiquette, greetings, consultations, and promotional initiatives.
- Ensure optimal scheduling for patients and providers, facilitating high-quality care while minimizing wait times.
- Develop and implement operational policies and procedures to enhance satisfaction for both patients and staff.
- Collaborate with the founder to manage personnel and coordinate with providers, ensuring the team is equipped for success.
- Oversee practice management systems and business metrics, developing and maintaining essential relationships with vendors and sales representatives.
Applicant Qualifications:
- Comprehensive knowledge of the aesthetic industry, including technology, analytics, financial management, and customer service excellence.
- 1-2 years of experience in healthcare management, preferably within an aesthetic practice setting (medical spa, plastic surgery clinic, cosmetic dermatology office).
- Professional appearance, with strong listening skills and the ability to lead by example.
- Solid understanding of profit and loss statements, operational systems, financial policies, sales techniques, and marketing initiatives.
- Strong leadership qualities, resourcefulness, strategic thinking capabilities, and the ability to motivate and coach the team effectively.
