JOB SUMMARY:
Primary responsibility is to provide amazing customer service to our patients and support all front office daily operations; this entails performing receptionist duties, appointment scheduling, checking patients in and out, skin care sales, and general office duties or special projects as assigned.
Duties include, but are not limited to:
- Open / close front office according to office protocol
- Greet patients into the office, check in for scheduled appointments
- Answering high volume telephones
- Schedule patient appointments
- Ensure all patient data is entered, updated accurately and correctly
- Check out patients, schedule follow up appointments, and collect fees due for appointment / future appointment (as needed)
- Skin care retail sales, collect payment / bill out purchases
- Patient Communication- via in person interaction, telephone, texting, and email inquiries.
- Triage patient inquiries and concerns to determine appropriate party for follow up
- Follow up on no-show and cancelled appointments
- Keep lobby and retail areas clean, stocked and promotional items current
- Admin tasks: Manage filing, scanning, shredding, faxing, copying, mailing, data entry; prepare and print office documents
EDUCATION AND EXPERIENCE:
- High school diploma, or equivalent; College degree preferred
- Minimum 2 years’ experience in a patient / customer facing front-office setting in a medical practice; and / or experience in a high-volume luxury brand company with a focus on customer experience.
ESSENTIAL SKILLS AND ABILITIES:
- Excellent telephone etiquette and communication skills
- Above average computer, grammar and written communication skills
- Strong organizational skills, with high attention to detail
- Ability to eloquently manage multiple tasks simultaneously
- Treat patients and co-workers with respect
