Job Summary:
As an Operations & Patient Care Coordinator, you will play a vital role in ensuring our patients receive the best care experience from the moment they contact us until they leave our practice. You’ll be responsible for managing patient inquiries, leads, appointments, and treatment plans while providing personalized care that reflects our commitment to excellence.
Key Responsibilities:
- Schedule appointments with warm leads, conduct consultations, and expertly describe SHINE’s treatments and skin care line alongside providers to build tailored treatment plans.
- Build rapport with potential patients, explain product and service capabilities, overcome objections, and sell packages or prepare financing contracts with lenders like PatientFi.
- Introduce new products and services to existing clients, as well as ensure a high re-booking rate and compliance to treatment plans
- Manage SHINE’s Customer Relationship Management process to ensure timely response rates to our clients and leads via email, text, and phone call to drive sales.
- Educate patients about available aesthetic and wellness treatments, services, and skincare products
- Facilitate communication between patients and medical providers to ensure smooth care delivery
- Provide pre- and post-treatment care instructions, ensuring patients feel informed and comfortable
- Collaborate with the clinical team to ensure patient satisfaction and a seamless treatment journey
Qualifications:
- High school diploma or equivalent (Bachelor’s degree preferred)
- Previous experience in a medical office, aesthetic practice, or spa setting is a plus
- Excellent organizational and multitasking abilities
- Strong customer service and communication skills
- Previous experience in front-office operations or lead management and sales preferred
- Previous experience in lead management and sales preferred
- Knowledge of medical aesthetics, skincare treatments, and products is preferred
- Ability to work in a fast-paced, dynamic environment
- Proficiency with electronic medical records (EMR) systems [Zenoti] and office software
