Job Summary:
The Systems Administrator supports the Milan Group business initiatives by managing a wide range of business applications that support new and existing business and process objectives. Maintains a reliable, secure and efficient process and data communication infrastructure. Deploys, configures, maintains and monitors all active production systems such as but not limited to Google Workspace, Ironclad, Smartsheet, and Okta. The Systems Administrator will work with Business Owners, Process Owners and end user community to obtain
business requirements based on current and future system needs. Promotes cross-functional coordination through project planning, management and the building of relationships. Provide updates for business processes, business flows and policies and procedures. Works collaboratively with IT teams and business teams to accomplish company initiatives. Maintains an awareness of all business operations. This role is also responsible for reviewing, understanding and documenting system requirements, project planning, management and execution, quality assurance, and project implementation oversight.
Responsibilities:
System Administrator:
- Fully support, configure, maintain and upgrade Milan’s ecosystem in systems such as but not limited to Smartsheet, Okta, Google Workspace, and Office365.
- Manage various system’s security and connectivity (Rights, permissions); Set up user accounts, permissions and passwords
- Monitor System performance (availability, utilization, throughput, and latency) and test for weakness (formulas, data volume, optimization)
- Resolve problems reported by end users (Help desk tier 1); work with support groups to end of resolution
- Support and administer integration with third-party applications (Ex: Office365, Salesforce etc...)
- Provide support and serve as backup to the Senior HRIS Analyst, assisting in configuration, maintenance, and troubleshooting of the HRIS platform
- Keep an eye out for needed updates (releases, updates, plug ins etc...)
- Define and document system policies and procedures
- Research and make recommendations regarding opportunities for efficiencies
Business Analyst:
- Create and refine business requirements documents based on business needs
- Create functional specifications based upon the business requirements
- Create reporting and dashboard requirements
- Create and refine process flow maps and workflow diagrams
Project/Program Management:
- Perform project planning functions and management for system enhancements, replacements, and upgrades
- Act as a lead on projects assigned
- Work withIT leadership to keep project plan, budget and action items updated and current
- Provide communication and project status updates
- Facilitate project meetings
- Assist with developing implementation plans
- Work with management team to resolve issues
- Work with the Change Control Board to approve or deny project Change Requests that impact original charter or agreed upon scope of work
- Provide project status reporting
Quality Assurance:
- Assist with Test Planning; Coordinate user acceptance testing
- Communicate effectively with developers and vendors to explain use cases
- Develop test scenarios and use cases as required/requested
- Involved with training as necessary
- Responsible for getting Progress Owner Sign Off’s
Qualifications:
- Bachelor's degree in information technology, computer science or related degree OR equivalent combination of education/experience combined (One year of education equals one year of experience) required.
- Minimum of 2 years of proven experience in a systems administrator or related administrator role required.
- A hands on understanding of systems such as Google Workspace, Office365, Okta, Smartsheet, and Ironclad preferred
- Business Requirements gathering, documentation, and process flow mapping required
- Strong at developing business relationships required
- Familiarity with the Software Development Lifecycle (SDLC) required
- Experience in Service Desk environment preferred
