We are currently seeking an experienced front desk receptionist and administrative office assistant manager who will not only manage day-to-day operations but also contribute to the strategic direction of our Institute. The ideal candidate will possess a patient-centered, concierge approach, embodying the excellence synonymous with our brand.
Responsibilities:
Oversee day-to-day operations, including managing the "pipeline" of potential new patients, providing clear and targeted information to convert inquiries into scheduled and completed services.
Collaborate with the provider team to execute billing tasks accurately, contributing to increased sales.
Support the Clinic Manager and Controller/Accountant in various billing tasks and reporting.
Anticipate and address the needs of administrative and physician staff to optimize patient flow and care.
Greet patients warmly and provide unparalleled care consistent with the standards of a leading aesthetics medical practice.
Handle a high volume of inbound calls, texts, emails, and faxes promptly and professionally.
Assist management in developing and coordinating social events to drive clientele growth, retention, and overall expansion.
Ensure compliance with company policies, HIPAA, OSHA, and Board Guidelines.
Assist with facility and retail inventories as required.
Cultivate a company culture that aligns with the core values of our Institute.
Requirements:
Friendly, professional demeanor with excellent communication skills and elevated phone etiquette.
Highly organized and self-motivated, with a minimum of 2 years of administrative experience.
Prior management experience is preferred.
Proficient in Word, Excel, and Outlook.
High school diploma or equivalent.
Three or more professional references, with at least two from former workplace connections.
Bilingual in Spanish and English preferred.
Experience in med spa, plastic surgery, high-end hospitality, or luxury sales advantageous.
Physical Activities:
Constant communication, standing, walking, sitting, and computer and phone use.
Occasional lifting, moving, pushing, and pulling objects up to 20 pounds.
Specific vision abilities required, including close vision and color vision.
Environmental Conditions:
Work performed indoors in an air-conditioned space with a mild to moderate noise level.

Salary: $20.00 - $30.00 per hour
