Job Summary
Nouveau Health & Wellness is seeking an Office Manager with strong leadership skills and a history of business development and sales. If you are an experienced office manager in a high-end plastic surgery center, medical spa, or dermatology office, we would like to meet you. As Manager, you’ll play an integral role in cultivating and maintaining the Nouveau Health & Wellness culture. You’ll have the opportunity to coach, train, build your own team, and work with the executive team to plan, budget, and forecast growth.
Responsibilities
People Management
- Lead performance management activities with each staff member and medical provider, including setting goals, ongoing coaching, career development, and performance reviews.
- Assist in selecting and developing high-performance employees for additional responsibilities and internal profitability.
- Partner with the executive team to identify and interview potential high-performance employees during the recruiting process.
- Oversee onsite onboarding and the training of new employees, including but not limited to the verification of I-9s, completion of new hire checklists and paperwork, and all mandatory compliance and specialized Restore training.
- Ensure 100% completion of all required ongoing training (monthly and annually) per Nouveau Health & Wellness compliance standards.
- Lead and influence staff and medical providers through motivation, leveraging individual strengths to ensure maximum productivity, and aligning the team on goals and expectations.
- Enforce medical office policies, procedures, and productivity standards.
- Monitor and formally document all staff performance/behavior with the support of the executive team.
- Oversee employee schedules to maximize usage and efficiency while ensuring adequate coverage during peak hours and special events.
- Audit and verify payroll information for each pay cycle and ensure staff commissions and bonuses are accounted for.
- Conduct regular staff meetings to communicate promotions, goals, trends, and other relevant information.
Operations Management
- Maintain a safe, clean and secure environment for all patients, clients, and staff.
- Educate patients about procedure and health care options during phone inquiries as well as during office consultations as needed.
- Discuss procedure costs with patients and facilitate a commitment to proceed as needed.
- Assist patient coordinators as needed.
- Continuously improve operational execution through attention to detail and adherence to operating and safety standards.
- Communicate any equipment maintenance or construction needs to the executive team and help oversee repairs.
- Accept guidance and collaborate with executive team to ensure optimal office performance and staff development.
- Ensure an exceptional medical office experience that engages and retains patients and clients.
- Be flexible with your schedule - you’ll work hours based on business needs and operating hours. This will include some weekends and holidays.
- Make timely and effective decisions regarding customer service issues.
- Daily reporting of appointments, revenue, and inbound/outbound calls.
- Report all safety and medical incidents through formal in-office communication and to the executive team.
Sales & Marketing
- Drive revenue through membership, packages, and retail opportunities while adhering to sales success metrics.
- Maintain a strong local presence through partnerships with community and business organizations.
- Lead employees in service and product knowledge and motivate them to meet and exceed sales goals, while adhering to organizational culture.
- Manage the proven sales process and work to exceed all sales while maintaining budgetary targets.
- Manage local grassroots marketing and prospecting initiatives. Solicit, coordinate and participate in community events.
- Set daily, weekly and monthly goals across all services to ensure clear expectations for staff and the success of overall location performance.
- Maintain and track active marketing efforts through events, B2B, word-of-mouth, and social media platforms.
- Coordinate or delegate social media channels for Nouveau to create compelling posts and communicate with guests and leads.
- Collaborate with patient coordinators to ensure all lead generation platforms are managed effectively and all marketing campaigns are followed.
- Identify, create, and maintain a highly engaged group of ambassadors and influencers that promote Nouveau Health & Wellness and our brand.
Supervisory Responsibility
This position supervises the daily operations and all employees.
- Work Environment: This job operates in a healthcare setting. This role requires regular walking to various locations around the practice.
- Physical Demands: While performing the duties of this job, the employee is regularly required to talk and hear. This position is very active and requires standing, walking, bending, kneeling, and stooping all day as well as periods of sitting. The employee must frequently lift and/or move items up to 20 pounds.
- Position Type and Expected Hours of Work: This is a full-time position in a healthcare facility that is open during business hours Monday through Saturday, 52 weeks per year. On-time and regular attendance, including work during inclement weather will be required.

Qualifications
- You have obtained an undergraduate degree or higher.
- Thoroughly understand non-surgical cosmetic procedures and services offered.
- You love the sales process and have a proven track record of B2B sales.
- You have at least three to five years of management experience.
- You have at least three years of medical office or medical spa management experience (preferred).
- You are passionate about health and wellness.
- You have excellent verbal and written communication skills.
- You can deliver action plans based on key metrics.
- You understand technology and have experience processing payroll and creating employee schedules.
- You embrace a leadership role and are also a strong team player.

Pay: $65,000 - $70,000.00 per year plus commission
