Position Type: Full-Time (Shifts: 9:00 AM - 5:00 PM, Monday-Friday, and Saturday mornings)
Job Description: Avesta Med Spa is seeking a highly organized and detail-oriented Patient Care Coordinator to join our dynamic team. The successful candidate will play a crucial role in ensuring a seamless and professional experience for both patients and providers, from the initial consultation through post-visit care. This position requires the ability to manage patient scheduling, respond to patient concerns, and maintain open communication with the medical team, ensuring all protocols and processes are followed.
Key Responsibilities:
- Patient Care Coordination:
- Demonstrate comfort and familiarity with various aspects of aesthetic medicine, including weight loss programs, skin treatments, anti-aging procedures, and related services.
- Assist in the administration and coordination of these treatments, ensuring patients receive the highest standard of care.
- Coordinate patient care pre-visit, during visit, and post-visit across multiple platforms, including in-clinic, online, by phone, and in collaboration with our medical team.
- Discuss and assess patient needs to ensure they receive the best treatment tailored to their goals.
- Ensure a comfortable and professional experience for patients, enhancing patient satisfaction and fostering trust.
- Show a willingness to learn and adapt to new clinical practices, including becoming comfortable with administering injections and other hands-on procedures under the supervision of licensed professionals.
- Clinical Quality Assurance:
- Respond promptly to patient concerns and complaints.
- Develop and implement a system for quality assurance, ensuring that all procedures and protocols are adhered to by center staff.
- Report any clinical issues to the management team as soon as possible.
- Scheduling
- Manage patient scheduling to ensure both efficiency and high patient satisfaction.
- Ensure that all providers and staff have current, consistent information and that scheduling processes run smoothly.
- Marketing and Sales Support:
- Support the development of the center’s marketing network by building and maintaining relationships with local businesses and referral sources.
- Promote the center’s presence on Instagram and Facebook, ensuring marketing goals are met.
- Assist in the implementation of marketing strategies and monitor growth through social media and patient referrals.
- Finance and Administration:
- Handle patient payments, issue receipts, and monitor accounts receivable.
- Ensure accurate processing of payments and maintain up-to-date records for inventory and patient accounts.
- Assist with inventory control, facility management, and vendor communication.
Preferred Qualifications:
- Experience in medical aesthetics or a related field preferred.
- Strong organizational and communication skills.
- Sales experience and MA license are a plus.
- Must be comfortable with handling multiple tasks efficiently.
Compensation: Starting at $25 per hour based on experience
