Qualifications:
Relevant Experience: Prior experience in any of the following settings is
required: medspa, dermatologist, plastic or cosmetic surgery office, healthcare
office, or customer service in the health & wellness industry.
Adaptability: Thrives in a fast-paced, busy office environment, especially in
settings involving patient interactions.
Flexibility: Willing and able to assist with tasks that may occasionally fall outside
the immediate scope of the position.
Attention to Detail: High level of accuracy in managing schedules, updating
records, and communicating with clients.
Technical Skills: Comfortable using email, various online platforms, and
scheduling software.
Software Knowledge: Familiarity with Microsoft Office Suite and other Windows-
based software, particularly in patient care or practice management.
Multitasking: Ability to efficiently handle multiple and varied tasks at the same
time.
Scheduling: Experienced with managing, scheduling, and adjusting
appointments.
Customer Service: Charismatic, friendly, and helpful, always prioritizing the
needs of clients/patients.
Communication: Pleasant and professional speaking voice and demeanor.
Proficiency in Spanish is considered
Professional Appearance: Neat, professional appearance in line with the spa’s
luxury image.
Time Management: Excellent time management skills and a strong focus on
accuracy.

Responsibilities Include:
Client Interaction: Greeting patients and handling check-in and check-out
processes.
Communication: Answering and directing incoming calls in a professional
manner.
Appointment Management: Scheduling and confirming patient appointments.
Records Management: Ensuring that patient information is up-to-date and
complete in the EMR (electronic medical record) system.
Flow Management: Overseeing the direction and flow of patients to ensure that
the daily schedule is followed efficiently and on time.
Room Preparation: Assisting with the preparation of procedure rooms for
patients.
Inventory Management: Helping with the stocking of exam and procedure
rooms.
Event Assistance: Assisting with various office events and functions.
