Seeking a highly organized and detail-oriented Executive Assistant for a growing mobile health and wellness medical practice based in Winter Garden/Orlando. In this position, you will work alongside an experienced Nurse Practitioner/Owner/Operator to provide administrative and personal support. The position is both in-person/on-site and remote. Responsibilities include providing personal, business, travel, digital, and remote assistance pertaining to day-to-day personal/home and business operations. The ideal candidate is proactive, resourceful, flexible, organized, well-versed in social media marketing, and able to handle confidential information with discretion.
```Responsibilities```
- Manage calendars, schedule appointments, and coordinate meetings
- Prepare, update and maintain patient records and other relevant documents
- Assist in real time patient charting during patient-provider appointments
- Check out clients following appointments and maintain financial documentation/revenue reports
- Drive executive to remote office locations/meetings using the employer's vehicle when necessary
- Follow-up and maintain membership invoices, payments, and records
- Order and track prescription fulfillment
- Handle shipping, tracking and follow-up
- Build/create/schedule daily social media posts; follow-up on interactions and adjust marketing timing as necessary
- Design and write monthly client newsletter
- Manage monthly billing and invoice statements
- Handle incoming and outgoing correspondence, including email and phone calls
- Coordinate travel arrangements and accommodations
- Assist with project coordination and follow-up on action items
- Maintain office supplies inventory and place orders as needed
- Provide general administrative support such as filing, scanning, and data entry
- Provide general personal support such as errands, child/pet care, and organization
- Assist with special projects as assigned
```Requirements```
- Proven experience as an Executive Assistant or similar role or recommendation from two individuals who know the applicant well and can attest to their ability to fullfill the requirements of this position.
- Excellent organizational and time management skills
- High social intelligence
- Strong written and verbal communication skills
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint)
- Familiarity with Google Suite (Docs, Sheets, Slides)
- Efficient and advanced use of social media platforms (Facebook, Instagram, YouTube)
- Familiarity with basic photography and videography capture, editting, and publishing.
- Ability to handle sensitive information with confidentiality
- Strong attention to detail and accuracy
- Ability to prioritize tasks and meet deadlines
- Safe driving record
- Experience in the medical spa or medical field a plus but not required
- Experience with project coordination is a plus but not required
Job Type: Part-time
Pay: $20.00 per hour
Expected hours: 10 – 25 per week
Schedule:
- Monday to Friday
- No weekends
