Primary Job Responsibilities:
- Greeting patients both in person and over the phone with a welcoming attitude.
- Schedule appointments, optimizing provider availability and patient satisfaction.
- Manage patient records by gathering necessary information and maintaining updated records for future reference.
- Assist patients with forms, ensure proper documentation, and provide relevant paperwork to medical personnel.
- Respond promptly to patient inquiries, address concerns, and ensure a positive experience.
- Maintain confidentiality and safeguard private patient information in accordance with HIPAA guidelines.
- Process payments, verify financial records, and handle billing inquiries.
- Perform administrative duties, such as ordering office supplies, delivering messages, and assisting with referrals.
- Assist with running reports from ModMed and follow up with patients based on report results.
- Send email reminders to patients based on reports.
Additional Responsibilities:
- Perform other tasks as deemed necessary by the Practice Manager.
- Engage in cross-training to competently work in all aspects of front office operations.
Desired Qualifications:
- High school diploma or equivalent.
- 1-2 years of experience in a medical or aesthetic practice preferred.
- Friendly and courteous with a naturally approachable demeanor; able to build rapport easily with patients and colleagues.
- Maintains a polished and professional appearance, reflecting the high standards of our practice.
- Excellent communication and organizational skills.
- Passionate about the aesthetics industry.
- Familiarity with electronic medical records systems (experience with ModMed is a plus).
