As a Phone Operator and Customer Service Representative, you will play a crucial role in delivering exceptional customer service, promoting our medical and aesthetic services, assisting patients, and driving growth. Your primary responsibilities will include answering incoming aesthetic/cosmetic and medical calls from current and new patients, confidently and pleasantly answering inquiries and giving guidance through our range of medical and aesthetic procedures, skin care products, as well as scheduling appointments in our system. This in-office Phone Operator and Customer Service Representative will be responsible for managing a high volume of inbound calls in a timely and customer service-centric approach to assist patients with navigating their healthcare experience. Secondarily, after appropriate cross training, a minor part of your work week experience will include routinely providing similar quality checkout-desk services to medical and aesthetic patients.

Primary Responsibilities
- Schedule patient appointments
- Answer incoming call
- Read and analyze patient records
- Thorough understanding of medical and cosmetic terminology
- Thorough understanding of each cosmetic procedure
- Ability to credential eight providers
- Ability to articulate limited discussion of cosmetic services and skin care products with prospective patients over the phone – encouraging them to schedule an appointment for more in-depth customized evaluation
- Thorough understanding of each provider’s specific scheduling guidelines
- Discuss fees and financial obligations with patients upon scheduling
- Retaining deposits upon cancelations within policy parameters
- Maintain professional appearance
- Maintain patient and business confidentiality, including HIPAA and practice specific compliance guidelines
- Have full knowledge of products & services and effectively communicate the value of each service and product
- Confidently present treatment plan and financial obligations
- Attend all in-house training and commit to continued education
- Support the mission, vision, and core values of the company
Secondary Responsibilities:
- Provide high-quality medical and aesthetic customer service at the checkout desk weekly (a minority of work hours spent in this position, yet sufficient quantity of hours to achieve and maintain checkout desk proficiency)
Qualifications:
- Experience working in a Medical or Day Spa, dermatology practice or cosmetic retail
- Experienced in phone skills, customer service and sales
- Demonstrate computer literacy including, (preferably) use of office EMR
- Strong interest in the skin care, beauty, and wellness industries
- High school diploma required; higher education preferred
