Job Summary:
We are currently seeking a friendly and organized Customer Service Concierge team member to join our growing MedSpa team. The ideal candidate will be responsible for creating a welcoming service experience for clients, executing administrative tasks, fielding client inquires, scheduling appointments, processing transactions, assisting in sales, and providing client outreach.
Responsibilities:
Greet and Check-In: Welcome clients with a friendly smile, and provide a smooth check-in process for clients with appointments.
Product and Service Knowledge: Obtain a general understanding of all services and all product brands and be able to answer related questions.
Scheduling: Efficiently schedule appointments using our cloud-based scheduling software.
Payment Collection: Collect payment for services and products, provide receipts and ensure accurate financial transactions. Educate clients on service promotions and reward offerings.
Data Management: Enter and maintain client information into our database.
Forms and Documentation: Issue client/patient intake and consent forms and ensure all necessary documentation is completed accurately.
Client Outreach: Conduct client outreach for promotions and special offers via phone calls and texting. When appropriate, follow up with clients after their service experience to ensure satisfaction.
Communication: Answer incoming calls, respond to voicemail messages promptly and maintain clear and effective communication with clients and coworkers.
Ability to Multi-task & Prioritize: In addition to the skills mentioned above, the ability to effectively multitask is crucial for success in this role. The Service Concierge Team will often encounter situations that require simultaneous attention to various responsibilities. The candidate should be adept at managing multiple tasks efficiently without compromising the quality of service. This includes:
- Prioritization: Assessing and prioritizing tasks based on urgency and importance; Managing competing demands to ensure smooth operations.
- Adaptability: Being flexible and adaptable in a fast-paced environment; Adjusting to changing priorities and client needs.
- Organization: Maintaining an organized workspace and keeping track of multiple ongoing tasks; Utilizing tools and systems to streamline workflow.
- Time Management: Efficiently allocating time to different tasks to meet deadlines; Balancing administrative responsibilities with client interactions.
- Problem-Solving: Quickly addressing and resolving issues that may arise during client interactions or administrative processes; Seeking solutions proactively to enhance the overall client experience.
Skills Required:
- Excellent verbal and written communication skills.
- Previous retail or customer service experience is preferred.
- Proficiency in technology including cloud-based scheduling software, EMR, and Google Drive or similar programs.
- Strong attention to detail.
- Effective time management skills.
