Position Overview:
As a Med Spa Front Desk Coordinator, you will be the first point of contact for our clients, responsible for providing exceptional customer service and ensuring the smooth operation of our front desk. Your role will involve managing appointments, processing payments, nurturing client relationships, and supporting our medical staff. You will play a crucial role in delivering the luxury experience we’re known for.
Key Responsibilities:
- Client Communication: Serve as the face of the med spa by answering phone calls, responding to inquiries, and offering detailed information about our wide range of services, promotions, and appointment availability.
- Appointment Management: Schedule client consultations and treatments with precision, handle rescheduling, and ensure timely appointment reminders to maintain a smooth schedule.
- Client Check-In/Out: Welcome clients warmly, confirm their appointments, and manage the check-out process, ensuring accurate payment processing.
- Lead Nurturing: Reach out to potential clients who have inquired about our services, answer their questions, and guide them through booking a consultation or service.
- Treatment Support: Assist injectors and clinical staff with client flow, including prepping treatment rooms and escorting clients to and from service areas.
- Administrative Duties: Keep detailed client records updated, manage retail product inventory, and handle day-to-day office duties.
- Customer Satisfaction: Ensure that all clients receive exceptional service, address concerns with professionalism, and work to resolve any issues to guarantee satisfaction.
- Maintain Cleanliness: Ensure the front desk, reception, and waiting areas remain tidy, organized, and welcoming for clients at all times.
Qualifications:
- High school diploma or equivalent (additional certifications in office administration or customer service are beneficial).
- Prior experience in a receptionist, front desk, or customer service role, ideally in a medical spa, aesthetics, or wellness environment.
- Exceptional communication skills, with a professional and warm demeanor.
- Highly organized with an ability to multitask and prioritize in a fast-paced environment.
- Comfortable with appointment scheduling software, client database management, and processing payments.
- Basic knowledge of skincare, wellness, and aesthetics services.
