Overview
We are seeking a dedicated and detail-oriented Customer Care Coordinator to join our team. In this role, you will serve as the primary point of contact for our clients, ensuring they receive exceptional service and support. You will be responsible for managing client inquiries, coordinating appointments, and providing administrative assistance within a medical spa office environment. Your expertise in medical spa terminology and administrative support will be essential in delivering high-quality care to our patients.
Duties
- Respond promptly to client inquiries via phone, email, and in-person interactions.
- Schedule and coordinate appointments for patients, ensuring optimal use of time and resources.
- Maintain accurate patient records and documentation in compliance with privacy regulations.
- Provide information about services, procedures, and office policies to clients.
- Collaborate with healthcare providers to ensure seamless communication regarding patient care.
- Responsible for welcoming and greeting all clients with a warm and friendly smile
- Maintain a neat and clean waiting room/reception area including: vacuuming, wiping down counters, dusting and cleaning glass up front as needed.
- Answering phones & business email service inquiries (landline and cell text messages) and returning messages in a timely manner. Sending appointment reminders via text a few days before scheduled appointments.
- Processing payments- cash, check, credit cards
- Assisting service providers as needed: Communicate all relevant information to supervisory
- Responsible for promoting the products, procedures and services through education, patient outreach, and strong skills in consultative selling
- Ability to stand and lift to support cleaning, restocking & organizing retail and front desk areas
- Posting & engagement on social media such as business IG, FB, and google to help promote business and growth
Requirements
- Previous experience in a medical or clinic setting is preferred.
- Friendly, welcoming treatment of clients with outgoing personality
- Strong organizational skills with attention to detail.
- Excellent verbal and written communication abilities.
- Ability to work effectively in a fast-paced environment while maintaining professionalism.
- Proficient in using office google software (docs/sheets) and electronic health record systems.
- Fast learner

Job Type: Part-time
Pay: $18.00 - $21.00 per hour
