Wonder Tree Developmental Psychology is a mental health clinic dedicated to helping clients achieve emotional well-being and resilience. We provide therapy and psychological evaluations for children, teens, young adults, and adults, using evidence-based and trauma-informed approaches.

Position Summary
We are seeking a part-time Intake Coordinator to play a vital role in ensuring a smooth and welcoming intake process for our clients. You will be responsible for managing incoming calls, explaining our services, scheduling appointments, and handling intake paperwork. This role is perfect for someone with strong communication skills, attention to detail, and a heart for supporting those seeking mental health care.

Responsibilities

Serve as the first point of contact for prospective clients, answering phone calls and inquiries with warmth and professionalism.
Provide information about our clinic’s services, fees, and policies in a clear and compassionate manner.
Schedule initial appointments for clients, coordinating with therapists’ availability.
Send out, collect, and organize intake paperwork, ensuring accuracy and completeness.
Maintain up-to-date records and communicate effectively with team members regarding client needs.

Qualifications

Previous experience in administrative support, customer service, or a similar role (experience in a mental health or healthcare setting is a plus).
Exceptional communication and interpersonal skills, with the ability to convey empathy and professionalism.
Strong organizational skills and attention to detail.
Proficiency with scheduling systems and basic office software (e.g., Google Workspace or Microsoft Office).
Ability to maintain confidentiality and handle sensitive information with discretion.

Preferred Skills

Familiarity with mental health terminology and processes.
Experience with electronic health record (EHR) systems.
Familiarity with gathering insurance information and talking about insurance with patients.
